How to Vote

Voting Eligibility

To participate and vote at the Annual Meeting, members must have been admitted to the association at a general assembly and be up to date on all dues assessed since March 1, 2023. The deadline for online credit card payments is Monday, February 17 at 10:30 a.m. Akumal time. Please go to vecinosakumalnorte.org/pay-dues to securely pay your dues by credit card. Dues may be paid in cash, in pesos, until the start of the meeting.

New members are eligible to vote if all fees are paid and all documents are submitted by Wednesday, February 12 at 1:00 p.m. Akumal time. Please go to vecinosakumalnorte.org/join-us for details and to start the process, or contact any member of the Vecinos Board.

Voting Methods

There are two ways to vote in Vecinos elections, but online voting is strongly preferred:

1. Online voting. Vecinos uses an online voting system called ElectionBuddy. Each member who is eligible will receive an invitation to vote online at the email address they registered with Vecinos. If you do not receive an email invitation by February 18, please check your junk folder or contact Jon Kantor, Director of Elections, at kantor@pacbell.net. The invitation will include a unique key giving you access to the Vecinos ballot. Voting will be open from 10:00 a.m. Akumal time on February 20 to 3:00 p.m. Akumal time on February 20. 

When you click the key in the ElectionBuddy email invitation during the period when online voting is open, your ballot will open. Candidate names will have circles next to them. You may click the circle next to the name of candidate(s) for whom you are voting, When you have completed the form, click Submit and your vote will be recorded. 

You can join the Zoom meeting starting at 10:30 a.m. Akumal time on February 20 by clicking here. If there is no quorum at the 10:30 a.m. meeting, there will be a second meeting at 11:00 a.m. using the same link.

You must either sign in at the in-person meeting or make your presence known to the Zoom meeting host while the official meeting is in progress, starting at 10:30 if there is a quorum or 11:00 if there is not. If you do not do this, you will be deemed to have been absent from the meeting and your online vote and the votes of any members you represent by proxy will be invalid under Vecinos bylaws. 

If you submit ballots both online and in-person, the ballot the DOE, in his sole discretion, determines to have been submitted last will be counted.

2. In-person voting. Members who sign into the meeting and are current on their dues will receive a paper ballot which they may complete and turn in at the meeting to be counted.

Voting by Proxy

Members who are unable to attend the meeting in person or online may designate another member to vote in their place. The proxy form (available for download by clicking here) must be completed and signed by the member who cannot attend and submitted, preferably by email to Jon Kantor, Director of Elections, at kantor@pacbell.net in advance of the meeting, but they may also be presented person by the proxy-holder before the meeting begins. If a member submits ballots both by proxy and directly, the direct ballot will be counted. 

Proxy-holders are encouraged to vote their proxies online using the election key(s) of the member(s) who have given them their proxies. Proxy-holders are responsible for obtaining election keys from the members who have given their proxies. Alternatively, proxy-holders who attend the meeting in person may vote paper ballots for the member(s) for whom they hold proxies, but this slows meeting checkin, so online proxy voting is preferred.

If you have given your proxy to a proxy-holder to vote for you and would prefer to cast your own vote, send an email to the proxy-holder with cc to Jon Kantor, Director of Elections, at kantor@pacbell.net, preferably before the start of the meeting stating that you are cancelling your proxy.
